This notice explains which data Domofolio processes, why, who it is shared with and how you can control it. It is written under Regulation (EU) 2016/679 (GDPR).

1. Data controller

The data controller is Gabriele Ruiz.

For any question about your data or to exercise your rights, write to gabrieleruiz.dev@gmail.com.

2. What data we process

  • Account data: your email address and, if the service you sign in with (Apple or Google) provides it, your name. We never receive or store your password.
  • Home data: name, type of dwelling and, if you enter them, address, city, floor area, year of construction and number of rooms.
  • Data you enter in the app: appliances and systems (brand, model, serial number, price, vendor, notes), warranties, maintenance, interventions (date, who did them, cost, notes).
  • Documents you upload: photos and PDFs of invoices, receipts, warranties, manuals and the like, with everything they contain. They may include personal data of yours or of other people (for example the name of a technician or a vendor): upload them only if you are entitled to.
  • Subscription data: the active plan, its expiry and purchase and renewal events. We do not receive your card or payment method details, which stay with Apple or Google.
  • Technical data: service logs (date and time of requests, errors) and usage counters, for example how many documents you upload and how many questions you ask the assistant in a day.

We use no behavioural analytics, show no advertising and do not profile you.

3. Why we process it and on what basis

  • To provide the service: creating the account, storing and showing your home's data, reading documents, reminding you of deadlines, answering your questions, managing the subscription. Legal basis: performance of the contract with you (art. 6.1.b GDPR).
  • To protect the service from abuse and keep its costs under control, with usage limits and technical logs. Legal basis: our legitimate interest (art. 6.1.f GDPR).
  • To comply with legal obligations, where they exist (art. 6.1.c GDPR).

We do not sell your data and do not use it for any other purpose.

4. Document reading and the AI assistant

When you first open an uploaded document, the file is sent to an artificial intelligence model that reads its vendor, date, amount and products. Manuals are not read.

When you ask the assistant a question ("Ask Domofolio", paid plans only), your home's data and the current conversation are sent to the same provider to compose the answer. We do not store conversations: they stay on your phone until you close the app.

The provider is Anthropic (see point 5). Results may contain mistakes: always check them. No decision producing legal effects on you is taken automatically.

5. Who we share it with

To run the app we rely on providers that process data on our behalf, as data processors:

  • Supabase: database, sign-in and service functions.
  • Cloudflare (R2): storage of document files, in a private space.
  • Anthropic: document reading and the assistant's answers.
  • RevenueCat: subscription management. It receives your account identifier and purchase data.

Apple and Google act as independent controllers for the data of sign-in with their account and of payments made in their stores.

We may disclose data to authorities when the law requires it.

6. Transfers outside the European Union

Some providers are based in or process data in the United States. In those cases the transfer takes place with the safeguards required by the GDPR: adequacy decisions of the European Commission or standard contractual clauses.

7. How long we keep it

We keep your data for as long as you have an account. When you delete a document, a home or the account, the corresponding data and files are erased from our systems; they may remain for a limited time in the providers' backups, until those are overwritten.

After the account is deleted, only technical and accounting records that no longer carry your identifier remain (for example the count of artificial intelligence costs and the history of purchase events).

8. Reminders on your phone

Deadline reminders are notifications scheduled directly on your device: they do not go through our servers. You can turn them off in your phone's settings.

9. Your rights

At any time you can:

  • see and correct your data directly in the app;
  • get a copy in open formats from Profile > Export data (PDF, CSV, JSON and the original document files);
  • delete the home or the whole account from Profile > Delete data;
  • ask us for access, rectification, erasure, restriction of processing, data portability, or object to processing, by writing to gabrieleruiz.dev@gmail.com.

You also have the right to lodge a complaint with the Italian data protection authority (www.garanteprivacy.it) or with the authority of the country where you live.

10. How to delete your account

In the app: Profile > Delete data > Delete the account. Deletion is immediate and final and covers the home, all the data and all the documents.

If you cannot access the app, write to gabrieleruiz.dev@gmail.com from the email address of your account.

Deleting the account does not cancel an active subscription: cancel it in the store where you bought it.

11. Security

Data travels encrypted. Each account only sees the data of its own homes, through rules enforced by the database. Document files live in a private space and can only be opened with temporary links generated for the owner.

12. Minors

Domofolio is meant for adults. We do not knowingly collect data from minors.

13. Changes

If we change this notice in a significant way we will tell you in the app. The date of the last update is at the top of the page.
